Rocky Mountain Analytical (RMA) is seeking a part-time (25 hours a week) Administrative Assistant to join our team located at 32 Royal Vista Drive NW, Calgary. 

As the Administrative Assistant you will provide administrative support to the Senior Manager, Operations in addition to site-level administrative support. This individual will demonstrate a high standard of excellence, enjoys challenges, and is results-driven.

 

Responsibilities

Some of the responsibilities include, but are not limited to:

  • Answering calls and handling queries
  • Reading and prioritizing incoming correspondence and following up to ensure work in progress is completed and deadlines are met
  • Providing support to the activity of mailing reports
  • Coding and tracking of incoming invoices and payments
  • Calendar management for the Senior Manager, Operations
  • Liaising with internal and external guests on behalf of RMA
  • Scheduling and organizing meetings, book meeting rooms and resolving calendar issues.
  • Liaising with LifeLabs’ travel agents to organize travel and prepare itineraries
  • Preparing agendas, presentations, minutes and other materials for various meetings
  • Maintaining electronic and paper filing systems
  • Order and manage availability of office supplies
  • Preparing expense reports
  • Conducting ad-hoc research and managing special projects as needed
  • Develop strong relationships with other administration teams throughout LifeLabs
  • Assist with other administrative duties as assigned from time to time

 

Requirements

  • Post-secondary education or minimum 3 years related experience in an administrative role
  • Strong knowledge in MS Office (Outlook, Word, & Excel)
  • Ability to communicate effectively (both written and verbal) with internal and external stakeholders
  • Must be detail-oriented and possess the ability to multi-task and meet deadlines in a demanding environment
  • Demonstrate sound judgment and discretion regarding confidential and sensitive matters
  • Must provide high level of customer service to internal and external guests
  • Basic budget and accounting knowledge is an asset
  • Experience in a regulated industry is an asset
