Reporting to the Medical Director, the Administrative Assistant will provide administrative support to the medical scientific staff.


Key Accountabilities:


  • Process credentialing documents and reviewing pathologist contracts
  • Manages calendar of the Medical director
  • Answers multiple phone lines, takes messages, screens and re-directs calls for the department
  • Coordinate and schedule meetings, including taking of meeting minutes
  • Responsible for coding and tracking of incoming invoices and monitor billing
  • Manage and distribute documents; maintain databases as required
  • Manage and maintain files (both hard copy and electronically)
  • Organize conferences and travel arrangements
  • Sorting and Distributing incoming and outgoing mail and faxes
  • Prepare/create documents, reports and presentations
  • Orders and maintains office supplies
  • Other projects and administrative duties as assigned




  • Minimum 3 years related experience in the health care industry preferred
  • Post-secondary education or equivalent work experience is required
  • Knowledge of health care, organizational/office practices, procedures and standards
  • Very good knowledge of medical terminology
  • Highly detail oriented, ability to prioritize, manage multiple activities in a fast paced deadline driven environment.
  • High level of professionalism supporting a multi-functional team.
  • Ability to work independently and contribute as a member of a team
  • Excellent communication skills (written and verbal)
  • Excellent organizational, time management, and prioritization skills
  • Must be flexible and create a positive working environment
  • Strong knowledge in MS Office (Excel, Word and Power Point)
  • Experience in a regulated environment an asset
  • Ability to exercise tact and discretion in dealing with confidential/sensitive matter
