Job Title: Real Estate Analyst

Reports to: Manager, Real Estate

Purpose of the Role: The Real Estate Analyst will ensure all financial transactions related to real estate leases are valid and accurately managed to ensure remittance of Rent payment to Landlord; maintain lease compliance to mitigate risk due to default, avoiding any negative impact on business performance, MoH licensing. Manage and maintain the real estate occupancy costs annual budget exercise and fiscal period forecasting reporting.

 

Core Accountabilities

• Set up of all managed real estate contracts from lease commencement of the contract; ensure all financial, legal and lease administration aspects associated with real estate contract management are properly managed. Maintenance contract management

• Manage and validate real estate contract set up and perform audit of inputted data

• Ensure all real estate costs are lease compliant prior to payment. Resolution of rental disputes as required • Liaison with business partners (A/P, Finance, Operations, Legal, IT, Insurance, Facilities, etc.) to validate and manage the real estate contracts

• Process, maintain, and keep contracts updated in database

• Interpret business terms/conditions to ensure the lease compliant. Coordinate with Landlord to set up new services/obligations as per legal agreement • Monitor and collect leasehold allowance from the Landlord based on legal agreement

• Prepare communication to internal / external clients relating to real estate contract management, best practices, and other related real estate issues and resolve disputes to mitigate risk to the business and seek best advice as required

• Maintain accurate legal recordkeeping of the national real estate portfolio

• Communicate to external clients (landlord, property manager, consultants, etc.) to resolve any tenant/landlord issues or disputed items and/or overcharges as per lease interpretation and ensure results adhere to business practices, and seek best advice as required

• Liaison with Legal Counsel to resolve any clarification to lease clauses in real estate contracts. Draft correspondence for Legal Counsel review, as required

• Process, maintain, and perform the analysis of all real estate financial entries to generate the monthly Rent Roll to pay rent to the Landlord as per the lease. Prepare and provide rent schedule and required support backup as verification of monthly Rent Roll for the Manager approval

• Maintenance and upgrades of real estate reports generated from the database

• Real Estate Module “Super User” - develop, upgrade and manage real estate database system as required. Manage team, divisional and business partners training on the database functionality

• Draft, prepare and document SOPs for manager's approval

• Communicate SOPs related to the real estate database module to divisional team members as required

• Conduct audits of rent reconciliations and yearend adjustments, verification of key financial information

• Liaison with business partners (A/P, Finance, Operations, Facilities, etc.) to validate, process and remit accurate payment to external clients. Coordinate release of legal documentation to business partners

• Provide support to Facilities on lease related issues (i.e. lease interpretation, landlord contact updates, internal client inquiries that should be directed to Facilities for handling, etc.) so that service deliverables to business partners are met

• Support Finance to manage the annual real estate occupancy budget exercise for respective fiscal period • Produce annual budget reports • Manage forecast reporting to Finance; input dates and explain variances. Submit report as per Finance timelines

 

Minimum Hiring Requirements

• Community College with a financial and lease administration background

• 2-3 years of commecial real estate experience in a corporate environment, contract management, lease administration.

• Experience with Database Visual Lease would be an asset. Intermediate/Advanced Excel skills required.
